Viewing details of an existing bulk order and tracking payment and status

Understanding order status tags

Communication Statuses

Order Tag Status Title Description
No Orders When this order was exported, there were no Shopify orders for this supplier during the time period specified.
Sent The store owner has sent the exported bulk order to the supplier.
Unsent The store owner has not sent the exported file to their supplier yet.
Voided The store owner did not want this export, and wanted to cancel or make it void.
Note: It is the store owners responsibility to communicate with the supplier to cancel orders.
Error There was a critical error at some stage of the export or fulfillment process. The order was most likely not exported, and depending on the order details message, you may need to contact support. 

Payment Statuses

Order Tag Status Title Description
No Orders
When this order was exported, there were no Shopify orders for this supplier during the time period specified.
Paid The store owner has paid the supplier and entered payment details for the order
Unpaid The store owner has not yet paid, or not yet entered payment details, for the order
Voided The store owner did not want this export, and wanted to cancel or make it void. 
Note: It is the store owners responsibility to communicate with the supplier to cancel orders.
Error There was a critical error at some stage of the export or fulfillment process. The order was most likely not exported, and depending on the order details message, you may need to contact support. 

Tracking Statuses

Order Tag Status Title Description
No Orders When this order was exported, there were no Shopify orders for this supplier during the time period specified.
Imported The store owner has imported but not processed the tracking information for this order

Not Received The store owner has not received tracking information back from their supplier
Processed Tracking was imported and Shopify orders were fulfilled without any issues.
Processing DropShop is currently importing tracking information and fulfilling Shopify orders. The page should refresh as soon as it is complete.
Tracking Error There were some identifiable issues when tracking was imported or orders were fulfilled. It is likely that orders were still fulfilled without error, but the store owner should review this order.
Voided The store owner did not want this export, and wanted to cancel or make it void.

Order Details and Products

This section is used to see specific details about the status of the current order, about the date range of the order, and a breakdown of the products in the order

Order detail status tags

A store owner can quickly determine the status of their bulk export order by using the order tags as defined in the  understanding order status tags section. These tags are controlled by system processes and user input.

Date range section

The date range section is where store owners can review the time period  that this order covers. DropShop uses the timezone of the currently connected shop.

Product details section

A Product detail list provides the user with a survey of all items which made up the exported item. Shopify store owners with access to reports should be able to match these with their product reports--barring differences from refunded or void orders within Shopify. Clicking on the product links directs the user to the Shopify product page (if the product remains active with the supplier in Shopify).


Marking an order as sent

DropShop allows store owners to quickly manage their bulk exports without the hassle of tracking the status of an order with a supplier through email or sticky notes. However, DropShop currently does not automatically send your bulk orders to your suppliers. Drop us an email to let us know how important this functionality is for you. For now, users are required to manage the actual sending of files to their suppliers on a manual basis. We recommend email or setting up and FTP service. After an order has been sent (by whatever means necessary) a store user should mark the order as 'sent' so that they can get a quick visual understanding of what is still outstanding and what has been deal with


Marking an order as paid

DropShop allows you to mark orders as paid and track your cost of goods purchases in  your operational currencies. This allows store owners to visualize their true revenue over time, and keep track of how much they are paying on an order by order basis.


Managing the export and tracking files for an order

The order details page lets you view the status of the current orders tracking and fulfillment process progress. For information about how to import tracking and fulfill orders with DropShop go to this this article.

Once tracking information has been imported and orders have been fulfilled, store owners have the ability to append additional tracking information to their order. For small changes, it is best to interact directly with the individual Shopify order through the Shopify admin.


Export file and tracking file management

As orders are created through the  order export process the exported file will be attached to the DropShop order where it can be retrieved from both the manage orders page, and the order details page. As tracking files are added one tracking file (the most recently imported) will also be available for download.
